Privacy Policy

1. About this policy

This policy explains how your personal information is handled when you take part in your club's loyalty programme.

• Your club is the responsible party (data controller): it holds your membership relationship and decides that your data is used to run its loyalty programme.
• Padel IQ (Pty) Ltd, is the operator (processor): it provides the loyalty platform and player app and processes your information on your club's behalf and on its instructions.

By signing in and joining the programme you confirm you have read this policy.

2. Who this applies to

All players who sign in to their club's loyalty programme via the Padel IQ player app.

3. What personal information we process

Most of this already exists in your Playtomic account; we receive it from your club's booking system rather than collecting it again from you.

• Identity & contact: name and email address.
• Play activity: your bookings (dates, times, courts, venue), the players you share a court with, and a derived skill level and trend.
• Loyalty data: points balance and history, tier, vouchers issued and redeemed, challenge and stamp-card progress, and the segments you fall into.
• Technical & sign-in data: one-time login codes, session information, and basic device data needed to run the installable app.

We do not collect special-category information, payment-card data, or location beyond your club's venues.

4. Where your information comes from

• From Playtomic — your profile and booking history, received via your club's integration with the Playtomic platform.
• Generated by your participation — loyalty points, vouchers, challenge progress, tier assignments, and social-play connections derived from your booking activity.

5. Why we process it

• Run the loyalty programme (award points, tiers, rewards, challenges, stamp cards) — consent given at sign-in.
• Show you your points, tier, vouchers and progress in the app — consent given at sign-in.
• Help your club understand and improve through aggregated analytics — legitimate interests of the club.
• Send you offers and updates about the club — only with your explicit opt-in consent.
• Send transactional messages (e.g. your login code, a voucher you've earned) — necessary to provide the service you requested.

6. Marketing

We will only send you marketing messages if you opt in — it is off by default. You can turn it on or off at any time in the app, and every marketing message includes an easy way to opt out.

7. Who your information is shared with

Padel IQ uses a small number of trusted sub-operators to run the service. They process your data only on instruction and may not use it for their own purposes:

• Cloud hosting — Amazon Web Services (data stored in the South Africa region).

We do not sell your personal information. We may disclose it if required by law.

8. Where your information is processed

Your information is primarily stored and processed in South Africa. Transactional email is processed in the EU; where information leaves South Africa we rely on the safeguards permitted under POPIA s72 (the recipient is subject to comparable protection and processes data only on our instruction).

9. How long we keep it

We keep your loyalty information for as long as you are an active member of the programme and for up to 6 months after your last activity, after which it is deleted or anonymised — unless we are required to retain certain records longer by law.

10. How we protect it

Your information is protected by encryption in transit and at rest, strict access controls, network-level protections, and ongoing security monitoring.

11. Your rights under POPIA

You have the right to:

• access the personal information we hold about you;
• correct information that is inaccurate or out of date;
• delete your information or object to its processing;
• withdraw consent (including marketing consent) at any time;
• complain to the Information Regulator.

12. Changes to this policy

If we make a material change we will update the effective date above and ask you to review and accept the updated policy the next time you sign in.
